Automating your schedule with AI lets you connect your calendar, receive a summary of what’s coming, prepare for each meeting and manage appointments without manual coordination, all in less time than you think.
In this tutorial I’ll explain how to do it with Google Calendar, Reclaim.ai and Claude. Tap each step to open and follow it.
Before you start: you need a Google account (for Google Calendar) and an account at reclaim.ai (free plan available). Claude.ai also has a free plan for meeting preparation prompts.
1 Connect your calendar to Reclaim.ai
Reclaim.ai analyzes your Google Calendar and automatically reserves time for what you tell it.
- Go to reclaim.ai and create a free account (or sign in with Google).
- Connect your Google Calendar when prompted (uses OAuth, does not share your password).
- Go to Settings → Calendars and confirm your main calendar appears marked as active.
- The tool can now see your events. The next step is telling it what to protect.

2 Configure automatic tasks and habits
Reclaim.ai blocks time in your calendar for the things you always postpone: deep work, exercise, meeting-free time.
- Go to the “Tasks” section and add your weekly tasks with a time estimate. Example: “Write the weekly report, 1.5 hours”.
- Reclaim finds the best slot in your calendar and blocks it as an event.
- Go to “Habits” and add a recurring habit. Example: “Check email, 30 minutes a day, mornings only”.
- In “Scheduling windows” you can mark time ranges where you DON’T want Reclaim to schedule anything (e.g., after 6pm).
- When a new meeting comes in, Reclaim automatically reschedules tasks and habits so everything fits.
Result: at the end of the day, your calendar shows blocks for what matters, not just other people’s meetings.
3 Prepare for meetings with Claude
Before each important meeting, spend 5 minutes asking Claude to help you prepare. It’s one of the most practical and underrated uses of AI.
- Open Claude.ai and use this prompt (adjust it to your context):
I have a meeting tomorrow with [who, e.g. new client, boss, supplier]. The goal is [what you want to achieve]. What I know about the topic so far: [context].
Help me with:
1. An agenda with 3 to 5 points for the meeting.
2. The questions I should ask.
3. The points I need to have ready to present or defend.
4. Possible objections or questions I might get and how to respond.
- Copy the response to your notes or paste it into the event description in Google Calendar so it’s within reach.

4 Automate appointment management with Make
If you receive client appointments or coordinate meetings frequently, Make (formerly Integromat) lets you create automatic flows without coding. A basic flow you can set up in 20 minutes:
- Go to make.com and create a free account.
- Create a new scenario and choose Google Calendar as the trigger: “When a new event is created”.
- Add an action: Gmail → Send email with an automatic confirmation message to the organizer or attendees.
- Optionally, add another step: Google Tasks or Notion → Create task with the meeting name and date.
- Activate the scenario and test it by creating a test event in your calendar.

If you don’t want to connect tools yet, you can start with just Claude to plan your week in 10 minutes every Monday.
- Open Claude.ai.
- Use this prompt:

Help me create a daily plan for this week that protects time for important tasks and prepares me for the most critical meetings.
- Claude will give you a day-by-day plan. Copy it to Google Calendar or your favorite notes app.
