How to Automate Your Invoicing with AI

There are three main options depending on your situation:

Recommended to start: if you’re in Spain, try Holded (free up to 50 invoices). If you invoice in another country or want maximum control, start with self-hosted Invoice Ninja.

Confirm current plans and prices on the official pages before subscribing, as they may change.

Once you create your account in the chosen tool:

1. Add your business data: name, address, tax number, and logo.
2. Create your invoice template: most of these tools have pre-designed templates; customize colors and data with your brand.
3. Add your clients: name, address, billing email, and (if applicable) their tax number. This is what you need to generate invoices in seconds.

AI tip: if you don’t know how to draft payment terms, ask Claude:

I'm a [your profession] in [country]. Write standard payment terms to include in my invoices: payment deadline, late payment policy, and accepted payment methods. Professional but friendly tone.

If you have regular clients who pay a monthly fee (retainers, subscriptions, maintenance), recurring invoices are your biggest time-saver.

In Holded:

1. Go to Sales → Recurring invoices.
2. Create an invoice, set the amount, and select the frequency (monthly, weekly, annual).
3. Enable automatic email sending to the client.

In Invoice Ninja:

1. Go to Recurring Invoices → New Recurring Invoice.
2. Select the client, amount, and frequency.
3. Enable Auto-send so it sends itself.

From now on, on the first day of each period the invoice goes out on its own. You only check whether the payment arrives.

OCR with AI reads your supplier invoices (paper or PDF) and records them in your expenses without you having to type anything.

In Holded:

1. Go to Purchases → Expenses.
2. Click Upload invoice and drag the PDF or photo of the receipt.
3. Holded reads the data (supplier, amount, date, VAT) and fills it in automatically.
4. Review the data and confirm.

If you use email: You can automatically forward your supplier invoices to a specific Holded email (found in your account). Everything you send there is processed automatically.

AI categorization: Holded classifies the expense into categories (office supplies, transportation, software) automatically. You can correct it if it gets it wrong.

Automatic payment reminders eliminate the discomfort of chasing late-paying clients. You have two options:

Option A (inside the software): Holded and Invoice Ninja have built-in automatic reminders. In both you can set how many days after the due date the reminder is sent and the email text.

Option B (with Make, more flexible): if you want more control, for example to personalize the email with AI, connect your invoicing software to Make:

1. Go to https://make.com (the free plan includes 1,000 operations/month).
2. Create a scenario with the trigger “Invoice overdue and unpaid” (according to your tool’s module).
3. Add a Gmail or Outlook module to send the email.
4. Customize the text. You can use Claude to write a friendly but firm template.
