If you work in public relations, you know the clock never stops: a press release going out today, a journalist list to update, a client who needs an answer before the story gets away from them. A lot of that work is quick to do but heavy to repeat. That’s where artificial intelligence gives you hours back for what really matters: strategy and the human relationship.

Not to replace you. To take away the tedious part and leave you the judgment, which is what a client pays for.

What AI can do in your PR day

Think of AI as an assistant you give the context to (the news, the angle, the brand tone) and it returns a nearly finished draft. A modern AI like Claude or ChatGPT can:

  • Draft a press release from just a few facts
  • Adapt the same message to different audiences (press, social, internal)
  • Summarize the day’s media coverage into a clear report
  • Suggest headlines and angles for a pitch to journalists
  • Help you prepare questions and answers before an interview

What used to take you a morning can now take minutes.

A real example: from a few facts to the release

Imagine your client is launching a product and all you have are the basic notes: what it is, when it ships, a CEO quote. The flow is this simple:

  1. You give it the context. Paste the notes and tell the AI the brand tone and who it’s for.
  2. You tell it what you want. For example: “Write a 400-word press release, formal but warm, with a headline, subhead, two paragraphs of context and the quote as-is”.
  3. You get the draft. The AI returns a structured release, ready for you to polish.
  4. You ask for the versions. “Now give me a short version for social and a three-line pitch email for journalists”.

You review, adjust the voice and approve. The heavy lifting was done by the machine.

Media monitoring without drowning

This is where a lot of time goes. Instead of reading 40 articles to build the day’s clipping, you can paste the headlines and ask the AI to summarize the tone of the coverage, group mentions by topic, or draft the report for the client. You confirm the facts and decide what to highlight.

It’s the difference between building the report by hand and describing it so it appears. That said: verify every mention and every fact before you send it, your name is on that report.

Crisis management: fast, but with a cool head

In a crisis, speed matters, but AI doesn’t feel the reputational weight the way you do. Use it as a copilot:

  • Ask it for three response drafts in different tones so you pick the right line.
  • Ask it to anticipate the hard questions the press will ask.
  • Ask it to check whether a message sounds defensive or lacks empathy before you publish.

But the final decision, the tone and the responsibility are yours. In a crisis, a poorly calibrated message does more damage than silence, so review everything calmly before it goes out.

The important part: your judgment is in charge

AI is incredibly fast, but it doesn’t know your client or read the room. It can make up a fact, sound generic or miss a cultural nuance. So:

  • Always verify names, dates, figures and quotes before publishing.
  • Don’t upload confidential client information without confirming the tool’s privacy policies.
  • Use it for drafts, versions and organization, not as your final source of truth or your voice.

AI does the mechanical 80%. The 20% that requires your strategy, your instinct and your relationships stays yours, and that’s where your value is.

Start small

You don’t have to automate your whole operation tomorrow. Start with a single task: that press release you always write from scratch or the clipping that steals the first hour of your day. Hand it to an AI this week and see how much time it saves you.
