AI for executive coaches: prep sessions, follow up and grow your practice

If you’re an executive coach or mentor, you know the beautiful part of the work (the conversation, the questions that open your client’s mind) comes bundled with a pile of invisible work: prepping each session, remembering what you talked about last time, building exercises and materials, and on top of that finding time to bring in new clients. The good news is that artificial intelligence can take on a big chunk of that invisible work.

Not to replace your presence, which is exactly what your clients pay you for. To give you back the hours that go into admin today and leave you fully available for what really matters: showing up for people.

Prep sessions in minutes, not hours

Before every session you review notes, set goals and think through what to ask. An AI like Claude or ChatGPT can give you a real head start:

• Hand it your notes from the last session and ask for a summary with the key points and the commitments your client made.
• Ask for three or four powerful questions to explore a specific topic (leadership, delegation, handling conflict).
• Ask for a mini plan for the session: opening, focus and close.

You arrive fresh and organized, and the conversation flows because you’re not improvising the structure.

Follow-up that actually feels personal

What separates a good coach from an unforgettable one is the follow-up. But keeping track of ten or fifteen clients at once is exhausting. Here AI helps you sound close without burning out:

1. Save your notes for each client (without sensitive data you shouldn’t share).
2. Ask for a follow-up email between sessions: “Write a warm message reminding my client of the commitment they made and encouraging them, in my tone.”
3. Adjust and send. The draft is ready, you add your voice.

That “just checking in on how it’s going” your client values so much now takes you two minutes.

Working materials tailored to each person

Exercises, reflection sheets and frameworks are part of your value. AI helps you produce them fast and personalized:

• A leadership self-assessment sheet for a client who wants to delegate better.
• A goal-setting exercise for the quarter.
• A clear summary of a model (wheel of life, Johari window) explained for that specific client.

Instead of recycling the same generic PDF, you hand over something that feels made for that person, because it is.

Grow your practice without living on social media

Landing clients is the part many coaches dread. AI takes away the friction:

• Ideas and drafts for LinkedIn posts in your voice.
• A short script to present your program on a discovery call.
• Copy for your page or your services proposal.

You decide what sounds like you and what doesn’t. The machine just gives you a starting point so you never begin with a blank page.

What AI should not touch

AI is your assistant, not your judgment. Two rules that protect both you and your client:

• Trust is sacred. Don’t upload private or identifiable client information to these tools without their permission and without reviewing the privacy policies.
• The relationship is yours. Listening, intuition and connection can’t be delegated. AI sets the stage; the human work is yours.

Start with a single task

You don’t have to digitize your whole practice tomorrow. Pick the task that steals the most time (for many coaches it’s the between-session follow-up) and hand it to an AI this week. You’ll get hours back and, above all, energy to be present.
