AI for beekeepers: hive records, costs, labels and selling your honey with AI

How artificial intelligence can help you keep hive records, calculate costs, design labels and sell more honey, without complicated technology.

  • ChatGPT

Running a well-organized apiary takes more than knowing about bees. You have to log inspections, calculate how much each jar costs to produce, design labels, answer customers and find new buyers, all in the time left between one hive check and the next. AI won’t put on the beekeeper suit for you, but it can take hours of administrative work off your plate.

Hive records without lost papers

The classic problem: you inspect a hive, jot something down on paper or in your phone, and three weeks later you can’t find that note when you need it. An AI like Claude or ChatGPT can help you:

  • Create an inspection template (date, queen status, honey level, varroa presence, general notes) so every visit is documented in the same format.
  • Organize your records in a spreadsheet with clear columns so you can see each hive’s history at a glance.
  • Spot patterns: if you paste all your records in, it can tell you which hives have had the most problems or which ones are in the best shape.

You don’t need special software. A conversation in Claude or ChatGPT and a Google Sheets or Excel file is all you need.

A management calendar adapted to your region

Beekeeping has its own rhythms: the flowering season, winter, swarming time, varroa treatments. An AI can help you build a realistic management calendar if you describe your region, your main nectar plants and how many hives you have.

“I have 20 hives in a subtropical area. My main flowering plants are mangrove and eucalyptus. Can you build me a calendar of inspections, harvests and treatments for the next six months?”

The result won’t be perfect (you’ll need to adjust it with your field knowledge), but it gives you a much better starting point than building from scratch.

Calculating what each kilo of honey actually costs

Many beekeepers sell without knowing whether they’re making money or losing it. AI can help you put together a simple cost breakdown:

  1. You tell it how much you spent in the year (materials, treatments, transport, jars, labels, your own labor valued at a fair rate).
  2. You tell it how many kilos you harvested.
  3. The AI calculates the cost per kilo and suggests a selling price that covers costs and leaves a margin.

This isn’t formal accounting, but it gives you a real picture of your business. If you want to go further, it can give you Excel formulas to update the numbers month by month.

Labels without paying a designer

This is where many beekeepers get stuck. A good label needs the product name, net weight, producer name, contact information and, in many countries, a mention that it’s 100% natural honey or a batch number. AI can:

  • Draft the full label text in English (and Spanish if you export or sell to bilingual markets).
  • Suggest the required fields based on your country’s regulations (though you should always verify with your local authority before printing).
  • Help you describe the design you want so you can hand it to a printer or build it yourself in Canva.

AI doesn’t design the label visually, but it helps you have all the text ready before you sit down with a designer or printer, which cuts down on revisions and back-and-forth.

Selling more honey: social content and reaching buyers

The biggest bottleneck for many producers isn’t the honey itself, it’s the selling. AI can help you create:

  • Product descriptions for your online shop, farmers market table or catalog: floral origin, texture, pairings, culinary uses.
  • Social media posts: what makes your honey different, how to use it, why buying from local beekeepers matters. You tell it the tone you want (informative, casual, passionate) and the AI writes it.
  • Outreach emails to potential buyers: restaurants, boutique hotels, natural food stores. You give it your information and it drafts the first contact message.

You don’t have to post everything it generates. Use it as a starting point, adjust it in your own voice and go.

Where to start

You don’t have to change your whole system at once. Pick the one thing that takes the most time right now, whether that’s the inspection records, the label you’ve been putting off or the pricing you’ve never sat down to calculate, and try AI on that one thing this week.

If I can use it to build things I never learned in any course, you with the real hands-on knowledge of your hives can go much further. You just have to start.
