How to manage projects with AI: a practical guide with Notion AI, ClickUp Brain and automation

Before creating tasks, you need clarity on the scope. Open Claude (or your preferred AI chat) and write something like:

“I’m a [your role]. I need to [describe the project in 2 sentences]. Help me define: main goal, key deliverables, important milestones and potential risks.”

The AI returns an outline ready to copy into your project manager. Adjust what doesn’t fit, but you already have a solid foundation in minutes.

Tip: If you have scattered notes, emails or briefs, paste them into the same prompt: “Here’s the additional context: [paste here]”.

With the outline from the previous step, it’s time to build your workspace.

Option A: Notion AI

1. Create a new Notion page: “Project: [name]”.
2. Type / and select Generate with AI (or use the AI block in the margin).
3. Ask it: “Create a task table with columns: Task, Owner, Due Date, Status and Notes”.
4. Notion generates the table. Fill in the data or ask it to do so with the context you have.

Option B: ClickUp Brain

1. Create a new Space in ClickUp for the project.
2. Open ClickUp Brain (the spark icon in the sidebar).
3. Type: “Turn this list of deliverables into tasks with subtasks and estimated dates” and paste your list.
4. Brain creates the tasks directly in your space.

Confirm available features on the official page of each tool, as AI capabilities evolve frequently.

Manual tracking is the bottleneck for almost every team. AI solves it in two ways:

Automatic AI summaries

• In Notion AI: open any page and use the “Summarize” button (or type /summarize). Get a current-state summary in seconds.
• In ClickUp Brain: ask in the chat: “Summarize the status of all open tasks in this Sprint”. It gives you a report in seconds.

Self-updating automations

In ClickUp you can create automations (Settings → Automations) such as:

• “When a task moves to Complete, notify the project lead by email.”
• “When the due date is 2 days away, change the status to Urgent and alert the owner.”

In Notion, connect with tools like Zapier or Make to trigger actions in other systems when a field changes.

Instead of writing the progress report by hand, use AI to generate it.

With Claude or ChatGPT:

1. Export (or copy) the task list with their current statuses.
2. Paste the list into Claude and write: “You are the project manager. Using this list, write an executive progress report: weekly achievements, critical pending items, risks and next steps. Professional tone, max 200 words.”
3. Review the text, adjust data the AI doesn’t know (names, exact dates) and send it.

With Notion AI directly:

On the project summary page, select the entire task table and use the AI menu: “Draft → Status Report”. Notion generates the text in place.

When the project ends, the retrospective is what makes you better next time. Use AI to run it in 10 minutes:

1. Paste the task history (completed, delayed, canceled) into Claude.
2. Write: “Analyze this project history. Identify: what went well, what went wrong, root causes of delays and 3 concrete recommendations for the next project.”
3. Share the analysis with your team, discuss and document decisions.

Bonus: Save the prompt and result in your project manager as a close-out template. Next time you just swap the data.
