With the analysis from the previous step, ask the AI to build the proposal skeleton. This is the standard structure that converts best:

• Executive summary: should open with the client’s pain point, not your credentials. AI tends to start with “We are X company with Y years of experience…” Correct it: ask it to start with the client’s problem.
• We understand your situation: this is where you show you listened. Include specific details from previous conversations, not generic information.
• Why us: ask the AI to turn your success stories into 2-3 sentence mini-stories using this format: client’s problem, action you took, concrete result.

Always personalize: AI generates solid drafts, but add unique client details that only you know. A proposal with 3 specific details converts much better than a perfectly generic one.

A visually well-presented proposal can be the difference between being read or being archived. You have two options:

Option A: Document in Google Docs (faster)

1. Paste the generated text into Google Docs.
2. Apply styles (Heading 1, Heading 2, Normal Text) to make it look organized.
3. Add your logo and brand colors to the header.
4. Go to File → Download → PDF to export before sending.

Option B: Visual presentation in Canva (more impactful)

1. Go to Canva (canva.com) and search for “Business proposal”.
2. Choose a proposal template.
3. Paste the text from each section into the corresponding slides.
4. Use Canva’s AI assistant (Magic Write) to adjust text if it’s too long.
5. Export as PDF before sending.

Tip: ask the AI to summarize each section in a 10-15 word sentence to use as the headline for each page or slide. The full text goes in the paragraphs or bullets below.

Before sending, do this final review with AI’s help:

Checklist before sending:

• The client’s name is correct everywhere it appears.
• Prices and terms match what you agreed on with the client.
• The PDF looks good on mobile (many clients open it from their phone).
• You have a clear “next step”: a call date, a signature link or a proposal validity deadline.

How to send: instead of just attaching the PDF, write a short context email. Ask the AI: “Write me an 80-word email to accompany the sending of this proposal to [client], highlighting the most important point and the next step”.
