How to automate tasks without code using n8n and AI

Before touching anything, the key idea. A workflow in n8n is a row of connected blocks (nodes) from left to right:

• Trigger: the block that starts everything. For example: “when a new email arrives” or “every morning at 8am”.
• Actions: the blocks that do the work. For example: “save this to Google Sheets”, “send a message to Slack”, “ask the AI to summarize this text”.

You connect the trigger to the actions and that’s it: every time the trigger happens, n8n does the rest by itself, without you being there.

Think of n8n as a chain of dominoes: you tip the first one (the trigger) and the rest fall on their own.

We start with the easy path (nothing to install):

1. Go to https://n8n.io and click “Get started” or “Start free trial”.
2. Sign up with your email. You get a 14-day free trial, no card needed to start.
3. Once inside, you’ll see your workspace with a button to create your first workflow.

Let’s build something simple and useful: every time a form comes in, it gets saved to a spreadsheet.

1. Click “Create Workflow”.
2. Tap the big ”+” in the center to add the trigger. Search and pick, for example, “n8n Form Trigger” (a form n8n gives you) or “Schedule” (by time).
3. Click the ”+” to the right of the trigger to add an action. Search “Google Sheets” and pick “Append row”.
4. The first time, n8n will ask you to connect your account (this is called a credential). Follow the wizard and authorize.

You now have two connected blocks. It doesn’t do anything magical yet, but the structure is there.

Now we make the flow understand the data, not just move it. Example: have the AI summarize the form message before saving it.

1. Between the trigger and Google Sheets, click the ”+” to add a node in the middle.
2. Search “AI” or directly “Anthropic” (Claude) or “OpenAI” (ChatGPT). Pick the node for the model you use.
3. n8n will ask for an API key. It’s a key you get from the provider’s site:
   • For Claude: at https://console.anthropic.com → API Keys.
   • For ChatGPT: at https://platform.openai.com → API Keys.
4. In the message field, tell it what you want and drag in the form data. For example: “Summarize this message in one line: {{ the form text }}”.

Not sure what to put in a field or expression? Screenshot it and ask Claude or ChatGPT: “In n8n I want to pass field X from the previous node into this one. What expression do I write?”.

1. Click “Test workflow” at the bottom. n8n runs the flow once and shows you, node by node, what data went in and out.
2. Check the AI node: did the summary come out right? Did the row save to your sheet? If something fails, the node turns red and tells you why.
3. When it’s how you want it, flip the “Active” switch (top right). From then on the flow works on its own every time it’s triggered.

Tip: always start in test mode with fake data. Don’t activate a flow that sends emails or deletes things until you’ve tested it several times.

If you want the free, unlimited-executions version, you can run n8n yourself. You need Node.js installed (see our terminal-without-fear tutorial if the console intimidates you).

The fastest way to try it on your computer:

3. Wait for it to install and open http://localhost:5678 in your browser.

To keep it running all the time (not just while your computer is on), you’d normally install it on a cheap server (a VPS or a managed service like PikaPods, from ~$5/mo). That’s a topic of its own, but the idea is the same: same n8n, running day and night.

So you don’t stare at a blank page, three easy and useful AI flows:

• Tidy inbox: each new email → the AI classifies it (urgent / invoice / spam) → it labels it automatically.
• Meeting summaries: a transcript lands in a folder → the AI summarizes it into 5 points → it sends it to you via Slack or email.
• Quick replies: a client message arrives → the AI drafts a reply → it leaves it ready for you to review and send.

Problem	Fix
A node turns red	Open it: n8n tells you the exact error below. It’s almost always a credential or an empty field.
The AI gives an API key error	Check the key is pasted correctly and your provider account has balance.
The flow doesn’t run on its own	Confirm the “Active” switch is on and the trigger is set up correctly.
