How to Use AI in Notion

The good news: you don’t have to install or set up anything. AI comes built in. There are three ways to call it:

1. With the slash command: on any page, type / and look for the AI options (for example “Ask AI” or “Write with AI”).
2. With the space key: place your cursor on an empty line and press the spacebar. The AI menu appears so you can start writing.
3. With the AI button: look for the Notion AI button (usually top right or in the bottom corner). That’s the one that asks your whole workspace.

If you’re on the free plan, you’ll have a limited number of trial responses. When they run out, Notion lets you know and offers to upgrade.

This is the most-used feature. It works both to start from scratch and to polish something you already wrote.

To write from scratch: on an empty line, press space and ask for something specific. For example:

• “Write a draft email to tell my team the meeting moved to Friday.”
• “Give me a list of 10 content ideas about personal finance.”

To improve what you already have: select the text with your cursor, a menu appears, choose the AI option and ask:

• “Improve the writing and fix errors.”
• “Make it shorter and more direct.”
• “Change the tone to more professional.”

Notion shows you the result and you decide: Replace, Insert below, or Discard. Always review before accepting, because AI sometimes changes a fact or makes up a detail.

When you have a long page (meeting notes, a document, a brainstorm), you don’t need to reread everything.

1. Open the page with the long text.
2. Type / and look for the summary option (“Summarize”), or use the AI button.
3. Notion generates a short summary at the top of the page.

A very useful trick: ask it to pull out the action items. You say “List the tasks and who’s responsible for each” and it turns a messy meeting into a clear to-do list. If you use the AI meeting notes feature (available on paid plans), Notion can even help you capture and summarize the meeting as it happens.

Here’s the magic no general AI gives you: asking your own information. Notion AI can search across all your pages, wikis, and databases and answer with what’s inside.

Use the workspace AI button (not the one on a single page) and ask things like:

• “What did we decide about the budget in this month’s meetings?”
• “Find me the notes for the client Pérez.”
• “Summarize the status of all my active projects.”

Notion AI also works inside your databases, and that’s where it saves teams hours.

• AI properties (AI autofill): you can create a column the AI fills in on its own. For example, a column that summarizes each task, or tags it based on its content.
• Generate tasks: ask it to “break this project into a list of tasks with suggested dates” and it builds the starting point of your plan.
• Status reports: with one click, it summarizes the progress of a project board into a paragraph ready to share.

Notion’s AI is incredibly fast, but it’s not infallible. Two rules to use it wisely:

• Always review what it generates before sharing it or making a decision. It can change a number or make up a detail that isn’t in your notes.
• Protect sensitive data. Notion says it doesn’t use your content to train its models, but for very delicate information (financial, legal, medical) treat it as a draft and confirm your plan’s policies.

Use it to do the boring work faster, not to think for you. The judgment is still yours, and that’s where your value is.
