How to Translate Long Documents with AI Without Losing the Formatting

Not every translation needs the same tool. First decide what you have:

• A formatted file you want to keep (Word, PowerPoint, PDF): use DeepL, which translates the whole file and returns the same design, with its tables, fonts and images.
• A long text where you want to control tone, style or specific terms: use ChatGPT or Claude, which let you give instructions (“formal tone”, “use the formal ‘you’”, “keep these terms untranslated”).
• A quick paragraph: any of the three, or even DeepL’s free translator with no account.

My practical recommendation: for important documents, combine the two. DeepL does the bulk while keeping the format, and a chat AI polishes the result.

• Verify names, figures and dates: the AI sometimes changes a number or translates a proper name it shouldn’t have.
